Rules For Pool Parties/Events

1. All parties must be scheduled at least two weeks in advance, with the Pool Director. Only WCSTA members in good standing are permitted to host an event.
2. Effective May 1, 2010, all members must pay a rental fee of $50.00 per pool party if you plan to use the pavilion area. This fee must be paid before your reservation will be confirmed. Checks should be made payable to: WCSTA and payments must be made via the management office. Contact AMAG at 678-407-1115 for their office hours and to schedule a time to drop off your payment.
3. You cannot reserve a table in the pool area prior to your event. However, you are welcome to use one (1) table outside of the pavilion area (at no cost) IF a table is available during your event. The tables are for all members and are available on a “first come basis”. You are welcome to bring a card table or other type of folding table with you for your event. There are several grassy areas around the pool area where you can set-up a table. The only prohibited area is near the volleyball net.
4. There will be a $40 fine assessed to your account, if, in the judgment of the Pool Committee, board member(s) or lifeguard that extra effort is needed to clean up after your event.
5. No parties will be allowed on Saturdays between the hours of 1:00 p.m. and 6:00 p.m. No parties are permitted on major holidays (e.g. Memorial Day, July 4th, Labor Day) or on Sundays.
6. A maximum of 20 guests will be permitted. If you exceed the number of guests then the lifeguard or a board member has to authority to immediately stop your event and ask all of your guests to vacate the pool area. Additionally, if you exceed the maximum number of guests then you will risk having your membership suspended for a period of time.
7. For the comfort and enjoyment of all WCSTA members, each household membership will have a limit of three (3) pool parties per household membership within a pool season.
8. There must be a lifeguard present during the party. If a party is scheduled for a time when the lifeguard is off-duty, then it is the responsibility of the member hosting the event to arrange for a lifeguard with the current pool service on contract with WCSTA (cost is between $25 - $35 an hour to hire a lifeguard). The Pool Director will be glad to provide you with the contact information if you need to hire a lifeguard for your event.
9. There shall be only one (1) party/event allowed at a time. During the party(event), all of your guests must wear a bracelet identifying them as your guest. We will supply you with the braclets to pass out as your guests arrive.
10. The party shall last for a maximum of three (3) hours. All guests attending your party must be out of the pool area no later than 7:00 p.m. (Monday through Friday) unless previous arrangements have been made for a lifeguard (see item #8).
11. If you are hosting an event that requires hiring a lifeguard then all of your guests MUST be out of the pool area at least 15 minutes prior to the end of the contracted time with the lifeguard. (Example: You hire a lifeguard for a party on a Saturday from 6:30 p.m. to 9:30 p.m. then ALL of your guests will need to be out of the pool area by 9:15 p.m.)
12. Guests from Westchester Commons MUST be a WCSTA Recreational Level member. Non-members living in Westchester Commons are not permitted in the pool area. Permitting a non-member resident will result in the suspension of your privileges for the entire pool season.
13. At no time are you allowed to leave the gates or doors ajar. Doing so will result in a suspension of your membership.
14. For the comfort and enjoyment of all WCSTA members, please ensure that your music is kept at a level that will not interfere with other members in the pool area. (See Pool Rules, Section 400:q)
15. If severe weather moves into our area or if we have a major chemical issue with the pool then your party may have to be cancelled, perhaps with very little notice. While we do our best to properly maintain the pool, we cannot prevent unexpected issues. Normally, a chemical “issue” would only result in a fecal accident from an infant or toddler. In this case, we must lockdown the pool for at least 24 hours, as per GwinnettCounty code. If you have paid a fee to rent the pavilion area then we will refund your $50 ONLY if the pool has to be closed due to a mechanical breakdown that requires a lockdown of the pool area. We cannot refund your fee due to severe weather or a major chemical issue.
16. All Westchester Commons Pool Rules apply to your event. Please make sure all of your guests are familiar with the rules prior to their arrival. As per the Pool Rules, your household membership is fully responsible for your guests and their actions.
The WCSTA Board of Directors reserves the right to amend these rules without prior notice to members. Any revisions will be updated on the website and posted on the bulletin board at the entrance to the pool area. It is your responsibility as a member to keep informed of any changes.
